Installation guide

Step 1: Let's get started: Jira

Go to Jira and sign up for a free trial, or login if you already have an account. Then, you need to create your first project and/or issue, or select an existing project and/or issue. A project or issue can be used as a trigger to collect feedback in Jira:

  • Select and open an issue within a project
  • Click on the three dots, and select "Configure"
  • Select the issue type you want to use, e.g. "Story" or "Epic"
  • Add six primary fields by clicking the "Text" button
  • Name these fields in the following order (from top to bottom): "First name contact", "Last name contact", "Mail address contact", "Phone contact", "Feedback received?", "View feedback details"
  • Click "Save Changes". Open your issue, and fill in the following newly added primary fields: "First name contact", "Last name contact", "Mail adress contact" and/or "Phone contact"

Step 2: Create your own group(s) to start collecting feedback

Go to Ratecard, and login into your account. Then, you need to create or edit an existing group, in which you'll collect your contacts from Jira:

  • Go to your dashboard in Ratecard, and open your address book
  • Create a new group, or edit an existing one by clicking the pencil icon right next to it
  • Add a smart field to your group by click "+ Add smart field"
  • Select the "Text" smart field, name it 'Issue Key', and set the issue key from the issue you created or selected previously in Jira as "Default value" within Ratecard, e.g. RAT-1. This issue key can be found in the bottom right corner of your issue in your project board or in the top left corner when opening an issue

Step 3: Build your own form(s) and/or use our proven questionnaires

Now you can decide which question(s) you'd like to ask. Build your own form or use one of our templates, add the language(s) you work in, brand your form with your company logo and colors, and preview and test it to make sure it works as intended. 

Important: to make sure you can collect feedback on autopilot via Jira, you need to add a hidden short text as the first element in your form. For ease of use, you should title this short text as 'Issue Key (ID)

Step 4: Send real-time and personalized feedback requests per email & SMS

In order to collect feedback on autopilot, you now only need one more thing: an event-based campaign. Make sure you select the group from step 2, and the form from step 3 above in this campaign, and you're now ready to collect feedback on autopilot!

Important: to make sure your feedback is reported back into Jira, you need to add "&short_text=%TEXT1%" to your review URL. Afterwards, it should look something like this:

Step 5: Add or update a contact from Jira via Zapier

Go to Zapier and sign up for a free account, or login if you already have an account. Then, you need to create your first Zap. This is a way to let two or more apps "talk", and thus integrate. In this Zap we want to add and/or update a contact in Ratecard, so it can receive real-time and personalized feedback requests per email & SMS:

  • Create a new Zap
  • Search 'Jira' and select the Jira app
  • Select your trigger, e.g. "Updated Issue" that triggers when an existing issue changes status, and click "Save + Continue"
  • Connect your account, and click "Save + Continue"
  • Select the project you want to collect feedback in, and click "Continue"
  • Test your trigger and make sure it works, e.g. by pulling in (a) sample(s) - in this case this will be an issue from the project you selected previously that changes status
  • Click on "+ Add a step" to add another step, and select "Action/Search"
  • Choose Ratecard from the list
  • Select "Add or Update Contact in Ratecard" as your action, and click "Save + Continue"
  • Connect your Ratecard account with Zapier, select it, and click "Save + Continue"
  • Begin setting up your template by first selecting the group you'd like to add your contacts in within Ratecard. You can connect this group to an event-based campaign in order to collect feedback on autopilot
  • Go on with setting up your template by selecting which fields you'd like to use for the first name, last name, email address and phone of your new contacts within Ratecard. At this stage, the primary fields you created previously in Jira should be visible and ready to use. 

Important: Make sure you at least have a first name and last name. Also, each contact needs to have an email address or phone number in order to send a feedback request

  • Finish your template by adding smart fields in JSON format. Make sure you've added these smart fields to the Ratecard group you've selected earlier.

  • Make sure you replace "INSERT FIELD HERE" with the field(s) you'd like to use as a value for your new contact in Ratecard, in this case the field that shows your Key, e.g. "RAT-1", and click "Save + Continue"

Important: It is necessary to at least use the smart field 'text' (= issue key) in your JSON, otherwise you won't be able to report the feedback back in Jira

  • Send a test to Ratecard by clicking on the "Send Test to Ratecard" button, and check if the new contact is added correctly to the group within Ratecard you selected earlier, or click "Skip Test"
  • Click on the "Finish" button, and turn your Zap on

Step 6: Creating a feedback sample in Zapier

In order to report feedback back into Jira via Zapier, you need to create a feedback sample:

  • Go to your campaign setup in Ratecard, and select the form you'd like to collect feedback with
  • Click on "Next" in the top right corner, and go to the bottom of the next page
  • Here you'll find the button "Send Test ...". Click it, and fill in your own phone number or mail adress, and click "Send"

Step 7: Report feedback back within Jira via Zapier

Go to Zapier, and if you aren't already, login into your account. Then, you need to create a new Zap. This Zap will notify you when you've collected feedback in Ratecard:

  • Create a new Zap
  • Search 'Ratecard' and select the Ratecard app
  • Select "New Feedback", and click "Continue"
  • Connect your Ratecard account with Zapier, select it, and click "Continue"
  • Select the form you'd like to collect feedback from, and click "Continue"
  • Test your trigger and make sure it works, e.g. by pulling in (a) sample(s) - in this case this will be the sample you created previously in step 6. Click "Continue" to proceed
  • Click on "+ Add a step" to add another step, and select "Action/Search"
  • Search 'Jira' and select the Jira app
  • Select the search action "Find Issue", and click "Continue"
  • Connect your Jira account with Zapier, select it, and click "Continue"
  • Select the "Issue Key (ID)" as Key, and click "Continue"
  • Test Jira to make sure it works, and click "Continue"
  • Click on "+ Add a step" to add another step, and select "Action/Search"
  • Search 'Jira' and select the Jira app
  • Select "Update Issue" and click "Continue"
  • Connect your Jira account with Zapier, select it, and click "Continue"
  • At "Issue Key", first select the Issue Key, e.g. RAT-1, to expose all optional fields
  • Next, select "Use a Custom Value (advanced)" instead of the previously selected Issue Key (e.g. RAT-1) at "Issue Key"
  • At "Custom Value for Issue Key Key", open "Find Issue" and select "Key"
  • At the custom field "Feedback received?" typ 'Yes, rating:', select "Avg Score", and  typ '/10' directly behind "Avg Score".
  • At the custom field "View feedback details" select "Feedback URL dashboard"
  • Select the optional field "Labels", typ 'Evaluated', and click "Continue"
  • Send a test to Jira by clicking on the "Send Test to Jira" button, and check if your issue in Jira is updated, or click "Skip Test"
  • Click on the "Finish" button, and turn your Zap on
